Email & Collaboration
Hosted Entirely in Canada
Moving off Exchange 2019? Webfire's hosted collaboration platform gives your organization a secure, Outlook-compatible alternative with all data remaining on Canadian infrastructure — and a team of real humans to guide you through the transition.
Exchange 2019 Is End of Life. Now What?
Microsoft ended extended support for Exchange 2019 in October 2025. Organizations that haven't acted yet are running mail infrastructure that will no longer receive security patches — a meaningful exposure for any business handling sensitive communications.
The default path Microsoft offers is Microsoft 365. For many Canadian organizations — particularly in legal, healthcare, and the public sector — that means mail and calendar data moving to US-controlled cloud infrastructure, subject to US jurisdiction. That's not a comfortable position.
Migration projects also carry their own anxiety: downtime risk, data loss, reconfiguring devices, and retraining staff. These concerns are real, and they deserve a serious answer — not a rushed cloud migration with support routed to an offshore call centre.
Security Risk
No security patches after end of life means known vulnerabilities go unaddressed. Every month you delay increases exposure.
Data Leaving Canada
Microsoft 365 stores and processes data in US data centres. For regulated industries, this creates compliance and privacy concerns that are difficult to resolve.
Subscription Lock-In
Microsoft 365 ties you to per-seat monthly pricing that scales with your headcount and is difficult to exit without disruption.
Migration Complexity
Moving years of mailboxes, calendars, and shared resources without losing data or disrupting operations requires careful planning and experienced hands.

A Better Path Forward
Webfire's hosted collaboration platform is designed for organizations that need a dependable Exchange alternative without surrendering control of where their data lives. It works with the tools your team already uses — Outlook, iOS Mail, Android — so there's no learning curve and no disruptive change to daily workflows.
Everything runs on infrastructure we operate and manage directly in Canada. There are no third-party cloud providers, no data processed outside Canadian borders, and no ambiguity about who has access to your communications.
We handle the migration from start to finish: mailbox exports, DNS cutover, Outlook reconfiguration, and user onboarding support. You stay focused on your work while we manage the technical transition.

Every aspect of the platform is designed around reliability, security, and keeping your data under Canadian jurisdiction.
Outlook Compatibility
Your team keeps using the Outlook they know. Full MAPI connectivity on Windows and macOS means no change to how people work — just a better server behind the scenes.
Canadian Data Residency
All mail, calendar, and contact data is stored and processed exclusively on Canadian infrastructure. Your organization's communications never leave the country.
Secure Mobile Access
ActiveSync support provides encrypted, policy-controlled access to mail and calendar on iOS and Android. Remote wipe capability for lost or departing devices.
Reliability & Daily Backups
Hosted on redundant infrastructure with automated daily backups and point-in-time restore. If something goes wrong, your mail history is protected.
Canadian Support Team
When you have a question or something needs attention, you reach a Canadian team member who understands your environment. No ticket queues routed offshore.
No Vendor Lock-In
Month-to-month pricing with no long-term contracts. Your mailboxes are exportable in standard formats at any time. You're never trapped.
Migration Without the Anxiety
A well-planned migration from Exchange 2019 doesn't need to be disruptive. We've moved organizations of various sizes and configurations, and our process is built around minimizing downtime and protecting data at every step.
We start with an assessment of your current environment: mailbox count, shared resources, calendar dependencies, mobile device policies, and any third-party integrations. From there, we build a migration plan specific to your organization before a single mailbox is touched.
The cutover itself is timed for minimal impact — typically outside business hours — and we remain available throughout. After go-live, we provide onboarding support to help your team get connected and comfortable on the new platform.
Free Assessment
We review your current Exchange environment, mailbox count, and requirements. No obligation, no pressure — just a clear picture of what migration involves for your organization.
Migration Plan
We prepare a detailed plan covering timelines, mailbox sequencing, DNS changes, and device reconfiguration — reviewed and approved by you before work begins.
Managed Cutover
We handle the technical migration: mailbox exports, data transfer, DNS cutover, and Outlook reconfiguration. Scheduled to minimize disruption.
Onboarding Support
After go-live, we're available to help your team get connected — configuring mobile devices, troubleshooting Outlook profiles, and answering questions.
Straightforward Pricing, No Surprises
Collaboration hosting is priced per mailbox, per month, in Canadian dollars. There are no setup fees, no multi-year contracts, and no seat minimums for most configurations. The price you agree to is the price you pay going forward.
We'll provide a precise quote once we understand your mailbox count, storage requirements, and any shared resource needs. Reach out and we'll put together a clear proposal — typically within one business day.

Why Trust Webfire With Your Mail?
Hosting Since 2002
We've operated Canadian hosting infrastructure for over two decades. Your mail platform is managed by a team with deep, long-standing experience — not a startup finding its footing.
Canadian Infrastructure
All servers are located in Canadian data centres and operated by our team directly. There are no third-party cloud providers in the chain.
Daily Backups
Mail and calendar data is backed up daily with point-in-time restore. Accidental deletions, ransomware incidents, and migrations gone sideways are all recoverable situations.
Security-First Operations
Current software, applied patches, encrypted connections, and proactive monitoring are standard practice — not optional add-ons. We treat your mail infrastructure the way we'd want ours treated.
Frequently Asked Questions
Will our staff have to stop using Outlook?
No. The platform uses standard Exchange protocols, so Outlook on Windows and macOS connects the same way it always has. From the user's perspective, little changes beyond the server address in their profile.
What happens to our existing mail and calendar data?
We migrate it. Your mailbox history, calendar events, contacts, and any shared mailbox content come across as part of the migration process. Nothing is lost, and everything remains accessible in Outlook after cutover.
How long does the migration take?
It depends on mailbox count and total data volume. Most small to mid-sized organizations complete migration within a single maintenance window, typically a few hours overnight. Larger environments may use a phased approach over several evenings. We'll give you a realistic timeline after the assessment.
Can we connect our mobile devices?
Yes. iOS and Android devices connect via ActiveSync, the same protocol used with Exchange. Mail, calendar, and contacts sync automatically. We'll walk through device setup with your team if needed.
Is the data actually in Canada?
Yes — all of it. We operate our own infrastructure in Canadian data centres. There is no third-party cloud provider and no data processing outside Canada. We can confirm this in writing if your compliance team requires it.
What if we outgrow the platform or want to leave?
There are no long-term contracts. You're free to leave at any time, and we'll provide your mailbox data in a standard export format so you can migrate wherever you'd like. We're not interested in holding customers by making exit difficult.
